Your recordings

The list of meetings recorded on your Mac, what each status means, and how to retry, play, export or delete a recording.

Every recording the companion makes is saved on your Mac first, then sent to Goose to be transcribed and written up. The companion's Meetings list shows each one and whether it reached Goose.

To open it, choose Meetings… in the menu-bar menu (⌘L while the menu is open). It opens in the companion's Settings window, on Meetings.

The list

Recordings are grouped by day: Today, Yesterday, then earlier days by date. Each row shows the meeting's title and time, and under it:

  • a status, if there's something to know (see below);
  • the company, and the deal it's on with its stage, or Internal;
  • the calendar the meeting came from;
  • Not on your calendar, for a recording with no calendar meeting behind it, when the row has no status and no company;
  • how many to-dos Goose found, for example 2 to-dos.

A Record now recording you haven't named is titled Call with its date and time. A calendar meeting's row also shows which calendar it came from. A lock beside the calendar name means only you can see that meeting in Goose: hover over it to see Only you see this meeting.

What the statuses mean

A row that's fine shows no status at all. Once Goose has the recording and has written it up, the status disappears.

StatusWhat it meansWhat to do
RecordingIt's still recording.Nothing. Stop it when the meeting ends.
Processing…It's on its way to Goose, or Goose is transcribing it and writing it up.Nothing. Goose sends it on its own, and keeps retrying if your Mac is offline.
Couldn't sendGoose stopped trying to send it. The recording is still on your Mac. Hover over the status to see why.Press Retry.
Can't be sentGoose can't link this recording to a meeting any more, usually because the meeting was removed from Goose or permission to record it was withdrawn. Retrying won't help.Export the audio to keep a copy, then delete it. Goose can't take the exported audio. To get notes, upload a transcript.

If an upload fails because your Mac is offline or Goose is busy, the companion tries again on its own three times: after 1 hour, after 6 hours, then after 24 hours. If it still can't send it, the row turns to Couldn't send and stays that way until you press Retry.

If Goose signs you out (the menu says Session expired — sign in again), uploads wait until you sign in again, and don't use up a retry. Choosing Sign out this Mac yourself is different: see below.

The menu-bar menu also tells you when recordings are waiting, for example 2 recordings waiting to upload. When some couldn't be sent, it has Retry uploads.

What you can do with a recording

Open the ⋯ menu on a row:

  • Open in Goose opens the meeting in Goose, with its transcript and notes. It's available once the recording is linked to its meeting.
  • Hide from Goose removes the meeting from Goose for everyone in your workspace. Goose says Hidden from Goose, with Undo.
  • Play recording plays the audio on your Mac. Stop stops it.
  • Export audio… saves a copy of the audio to a folder you choose.
  • Delete transcript… removes the transcript stored on your Mac, if there is one.
  • Delete recording… deletes the audio from your Mac (see below).

The menu also shows how much space the recording takes, for example 27 MB on this Mac.

Delete a recording

Choose Delete recording… in the row's ⋯ menu, then Delete permanently. You can't delete a recording that's still running: stop it first.

Deleting removes the audio from your Mac, and it can't be recovered. After transcription, Goose deletes its copy of the audio (a cleanup job retries if that fails) and asks its transcription provider to delete theirs. The notes and summaries already in Goose stay. For a Record now recording, Goose also tries to remove the meeting it created for it.

If the recording hasn't reached Goose yet (it says Processing… or Couldn't send), deleting it means Goose never gets it, and that meeting gets no notes. Check its status first.

Where recordings are kept

Recordings stay on your Mac until you delete them, one by one or with Delete older than… (below). They're stored encrypted, and left out of iCloud and Time Machine backups. If you lose your Mac, Goose keeps the notes but not the recordings.

To manage the space they take, open the companion's Settings and choose Storage:

  • Recordings are saved in shows the folder. Change… picks another one (not a network drive), and Reset to default puts it back. Reveal in Finder opens it.
  • Warn me when recordings use more than sets when Goose warns you: 10, 20, 40 or 80 GB.
  • Delete older than… clears out old recordings in one go: 30 days, 90 days, 6 months or 1 year. It skips any recording that hasn't reached Goose yet, so those stay until you delete them one by one.

An hour of recording takes about 29 MB.

Common snags

  • A recording says Couldn't send. Hover over the status to see why, then press Retry. If Goose asks you to sign in, sign in and press Retry again. See Troubleshooting.
  • A recording says Processing… for a long time. It may be waiting for your Mac to come back online. If the meeting still has no notes in Goose after that, see Why a meeting has no notes.
  • Open in Goose is grayed out. The recording isn't linked to its meeting in Goose yet. Wait for it to finish processing.
  • You signed out with recordings still waiting. Signing out abandons uploads that haven't reached Goose. The audio stays on your Mac, but it can't be sent from a new sign-in. Goose warns you before you sign out.
